Position Information

We are seeking to appoint a Finance & Admin Manager to join our small team in the UK. The successful candidate will support both the Friedrich-Ebert-Stiftung UK and Dublin office in their financial operations and administrative tasks.

About us:

The Friedrich-Ebert-Stiftung London Limited (FES London) is the UK representation of a German political foundation with a large international network of more than 100 offices. As part of this network, we work with partners in the UK, Germany, Europe and beyond to foster dialogue, research and policy exchange through conferences, workshops, discussions and publications.

Key responsibilities:

Finance & Accounting

  • Prepare the FES London’s monthly and end-of-year accounts using FES’s own accounting system (training will be provided)
  • Monitor budget compliance and provide regular updates throughout the year
  • Ensure compliance with financial regulations
  • Liaise with HQ on accounting and regulatory matters
  • Manage banking operations, payments and cashflow
  • Support the preparation of the FES London’s annual financial statements and audit

Admin and office management

  • Liaise and cooperate with administrative services providers for both our UK and Ireland office
  • Oversee and support the Project Assistants in their duties
  • Manage FES London’s archival storage and inventory
  • Manage and/or oversee procurement processes

Events and Activities

  • Support Project Managers and Assistants in regulatory and financial aspects of their work
  • Take part in planning processes and meetings

Human Resources

  • Cooperate with payroll providers on running the monthly payroll for UK and Ireland staff
  • Communicate payroll changes and support the recruiting & onboarding process
  • Monitor and record annual leave, sick leave etc.
  • Ensure compliance with HR rules and regulations

Qualifications

  • Existing right to work in the UK without requiring sponsorship
  • Professional training and/or several years’ work experience (preferably in accounting)
  • English and German (native/bilingual or highly proficient in second language)
  • Confident management and problem-solving skills
  • Excellent organisational skills and ability to manage a varied workload
  • Ability to work independently and flexibly
  • Excellent communication, coordination and teamwork abilities
  • Excellent Microsoft Office skills (Word, Excel, PowerPoint, Outlook) and strong general IT literacy
  • Strong identification with the values of the Friedrich-Ebert-Stiftung
